Flagged patrons

Flagged patrons are detected when they attempt to sign in at your venue. Unlike a ban or self-exclusion, a flag does not block entry — the patron is still allowed to sign in, but staff are alerted by the warning sign-in outcome so they can take any appropriate action.

You can set a flag for a specific period or make it permanent.

How matching works

When a patron signs in, VenueScan checks their details against your flagged patrons list.

  • Name and date of birth: if the flag has both, we match against patrons with the same name and the same date of birth.
  • Name only: if no date of birth is set on the flag, we match on name alone.

Name matching uses a built-in algorithm that accounts for common OCR errors, so minor variations in how a name is read from an ID won’t cause a missed match. Middle names are not required for a match.

Create a flag

  1. Go to dashboard.venuescan.com.au .
  2. Choose Flagged Patrons in the left sidebar.
  3. Click + New Flag in the top right.
  4. Enter the patron’s Full Name and Date of Birth.
  5. Set the Start Date.
  6. Either check Flag permanently or set an End Date.
  7. Optionally enter a Reason for the flag.
  8. Click Create Flag.

Delete a flag

  1. Go to dashboard.venuescan.com.au .
  2. Choose Flagged Patrons in the left sidebar.
  3. Click the row of the flag you want to delete.
  4. Click Delete Flag at the bottom of the details panel.
