Viewing entries
All sign-ins are recorded in the dashboard under Visitor Entries and Member Entries. Both pages show a summary of today’s sign-ins at the top (total, successful, and rejected), followed by a searchable, filterable list of all entries.
Visitor entries can be searched by visitor name. Member entries can be searched by member number or member name, depending on which is recorded with your venue’s member sign-ins.
Filters
Date
Filters entries by date or date range. Defaults to today.
Status
- Successful: the patron signed in without issue
- Rejected: the patron was denied entry (banned, self-excluded, underage, or expired/invalid ID)
Entry type
- ID scan: signed in via the terminal using an ID
- Manual entry: signed in via the terminal with details entered manually
- QR code: signed in by scanning a QR code
Source
The name of the terminal or QR code the entry came from. Useful if your venue has multiple terminals or QR codes set up across different areas.
Age
Filters visitor entries by the patron’s age at the time of sign-in. Only available when Store date of birth is enabled on the terminal.
Delete an entry
- Go to dashboard.venuescan.com.au .
- Choose Visitor Entries or Member Entries in the left sidebar.
- Click the entry you want to delete.
- Click Delete Record at the bottom of the entry details panel.
- Click Delete Entry to confirm.
Deleted entries are permanently removed and cannot be recovered.
Data retention
Entries are stored for 3 years in line with the requirements of the Registered Clubs Act. After this period they are permanently deleted.
If you need to retain entry data beyond 3 years, you will need to arrange periodic exports with us (for example, annually) before entries reach the 3-year mark.
